1. Scope and our role
This Privacy Policy applies to NexusEDU services provided through our mobile, tablet, desktop, and web apps, as well as thenexusedu.com. “NexusEDU,” “we,” “us,” and “our” refer to the NexusEDU service and its operator.
NexusEDU is designed for co-ops, schools, and learning communities. When an organization provides or directs the use of information in NexusEDU, that organization controls the educational and operational records in its account, and NexusEDU processes those records to provide the service. The organization’s own notices, policies, and legal obligations may also apply. Please contact your organization first for questions about records it manages.
NexusEDU is not an advertising service. We do not sell personal information, serve targeted advertising, or use student information for advertising or cross-app tracking.
2. Information we collect
The information available in NexusEDU depends on your role, the app you use, and the features your organization enables.
Account and identity
Name, email address, account and organization identifiers, role, account status, authentication records, and family, student, class, or group links.
School and organization records
Family and student profiles, class rosters, locations, schedules, staff or volunteer assignments, attendance, check-ins and check-outs, and absence reports.
Communications and safety
Announcements, in-app or SMS messages, contact details, help requests, incident reports, emergency messages, notes, delivery status, and related timestamps.
Device and service information
IP address, app version, device and operating-system details, browser or user agent, installation identifiers, notification tokens, usage events, and crash diagnostics.
How information is collected
- Directly from you when you sign in, enter information, send a message, submit a report, or contact support.
- From your organization and its authorized administrators when they create accounts, import records, configure the service, or manage access.
- Automatically from the app, device, and hosting environment when you use NexusEDU, including security, analytics, notification, and diagnostic data.
- From service providers when needed to authenticate users, deliver notifications or messages, operate the service, and respond to support requests.
3. How we use information
We use information to:
- Provide and operate attendance, scheduling, check-in, communication, reporting, and organization-management features.
- Authenticate users, apply role-based access, maintain account security, and prevent abuse.
- Deliver app notifications, in-app communications, and SMS messages when enabled by an organization.
- Maintain, troubleshoot, analyze, and improve app reliability, performance, accessibility, and user experience.
- Respond to questions, support requests, privacy requests, and account-management needs.
- Protect users, organizations, NexusEDU, and the public, and comply with applicable law and valid legal process.
We do not use educational records, incident information, message content, or student information to build advertising profiles.
5. Students and children
NexusEDU is provided to students and families through participating learning organizations. Organizations decide what student information is entered, who may access it, and how consent or authorization is obtained. NexusEDU does not invite children to create independent consumer accounts or knowingly collect children’s information for advertising.
A parent, guardian, or eligible student seeking access to, correction of, or deletion of an education record should contact the organization that manages the record. We assist organizations with appropriate requests where required.
6. Data retention and deletion
We retain account and organization information while the applicable account or organization uses NexusEDU and for a reasonable period afterward to provide the service, maintain security and audit records, resolve disputes, comply with legal obligations, and complete deletion from backups. Technical analytics and crash information is generally retained for shorter periods according to the settings and retention schedules of the applicable service.
When a verified deletion request is approved, we delete or de-identify the account and associated personal information that NexusEDU controls, subject to records the organization must retain, valid legal requirements, security needs, and information already de-identified. Information in backups may remain until the backups are rotated.
Request account or data deletion
You can begin a request at our account and data deletion page or email john@raetzel.org. We may need to verify your identity and coordinate with your organization before completing the request.
7. Your choices and privacy rights
- Access and correction: Review or update available account information in the app, ask your organization administrator, or contact us.
- Notifications: Control push notifications in your device settings. Your organization may also manage which operational communications it sends.
- SMS: Follow opt-out instructions in an SMS or contact your organization. Opting out may not prevent legally permitted non-marketing or emergency communications.
- Consent and objections: Where processing relies on consent, you may withdraw it for future processing. You may also have rights to access, correct, export, restrict, object to, or delete personal information under local law.
- Account deletion: Use our web request process. Deleting an app from your device does not delete your account.
We will not discriminate against you for exercising applicable privacy rights. Some requests must be handled by the organization that controls the relevant records.
8. Security and international processing
We use administrative, technical, and organizational safeguards designed to protect information, including encrypted network connections, access controls, authentication, role-based permissions, and service monitoring. No system is completely secure, and we cannot guarantee absolute security.
NexusEDU and its service providers may process information in the United States and other locations where they operate. When required, appropriate safeguards are used for cross-border transfers.
9. Changes to this policy
We may update this policy as NexusEDU changes or legal requirements evolve. We will post the revised policy here, update the “Last updated” date, and provide additional notice when appropriate.
